Editing a contract

The contract view is divided into different sections. You can edit master data, details as well as information on duration and manual permissions.

The editing of documents and tasks is described in the corresponding chapters:

You can put the individual areas of the contract view into edit mode. To do so, click on the pencil symbol.

Editing the master data

You can edit the master data.

This is how it works

  1. Open the contract.

  2. Change to the Master data area.

  3. Activate the edit mode for the desired area by clicking on the pencil symbol.

  4. Edit the desired fields and values.

  5. Save the information.

Detailed information about the master data can be found in the chapter Master data.

Editing the details

You can edit additional fields under Details.

This is how it works

  1. Open the contract.

  2. Change to the Details area.

  3. Activate the edit mode for the desired area by clicking on the pencil symbol.

  4. Edit the desired fields and values.

  5. Save the information.

Editing the duration

To track the relevant deadline within the contract life cycle, you can save the information on the duration in the contract.

There are several options available:

Manually managing the duration information

You can manage the information on the duration manually.

This is how it works

  1. Change to the Duration area.

  2. Enter the Contract start date.

  3. Enter the Contract end date.

  4. Save the information.

Automatic management of the duration information

You can have duration information calculated by the system.

This is how it works

  1. Change to the Duration area.

  2. Enter the Contract start date.

  3. Activate the checkbox below Calculated contract end date.

  4. Select the Initial run time of the contract.

    Optionally, specify a fixed date of the initial runtime by activating Select date.

  5. The Contract end date is now calculated automatically.

  6. Save the information.

Automatic renewal of the contract

You have the optional possibility to extend the contract automatically.

This is how it works

  1. Activate the checkbox below Automatic extension.

  2. Enter the numerical amount and unit of the extension period, e.g. 24 months, under Automatic extension by.

  3. Enter a number, parameters and the termination effect, e.g. 6 months before the end of the contract, under Period of notice.

  4. The Date of cancelation is now calculated automatically.

If you want to manually enter the Date of cancelation, activate the selection under Manual date of cancelation and enter the cancelation date.

Editing the notification on the date of cancelation

You have the option set up notifications for the date of cancelation.

You determine the notification interval, the notification start and other persons/groups that will receive this notification. The notifications are sent until the contract is renewed, manually canceled or the notifications are manually deactivated.

This is how it works

  1. Activate the selection below Notification by e-mail to receive notifications of the date of cancelation.

  2. Specify the Notification interval.

  3. Specify the Notification start. Alternatively, you can use Quick selection.

    The notifications are sent to the Responsible person internal (see section Master data).

    The notifications contain standard system information.

  4. If required, define additional users or groups as recipients in the field Send notification to other recipients.

  5. There is also the option to enter a text for the e-mail in the field Additional note in notification.

  6. Save the information.

Editing the manual permissions

Note

The manual assignment of permissions must be activated by the administrator.

Permissions to access contracts can be assigned automatically by a set of rules based on contract properties or by manual entry.

The manually added permissions supplement already existing permissions.

This is how it works

  1. Open the contract.

  2. Change to the Permissions section.

  3. Activate the edit mode for the desired area by clicking on the pencil symbol.

  4. Define the desired users or groups to give Additionally grant read access for or Additionally grant write access for.

  5. Save the Permissions.
