Finding a contract via the advanced search

Using the advanced search you can search for contracts in d.velop contracts for Microsoft 365.

You can do thing using a full text search to search in all properties of the contract. Alternatively, you can limit the search to individual contract properties.

There are several options available to you for finding a contract, which you can combine.

Refining the search by selecting properties is optional. Refining your search will reduce the number of contracts in the result list.

The following options are available for refinement, which you can also combine.

Note also the possibility to Saving search templates after you have executed an advanced search.

Using the full text search

You can start a full text search with a search term via the search field. All properties of the contracts and the content of the documents are searched for this search term.

This is how it works 

  1. Navigate to the start page of d.velop contracts for Microsoft 365.

  2. Select Advanced search to open the search mask.

  3. Enter the search term you are looking for in the Search term field.

  4. Start the search with the Search button.

Restricting the search to one contract type

You can limit the search to a specific contract type.

This is how it works

  1. Select a contract type by clicking on the corresponding button from the list under Choose contract type.

  2. Enter a search keyword to search in all contract properties.

  3. Search for contracts with the specified criteria.

Using the search result list

Here you will learn how to customize and export the search result list.

Note

The search displays a maximum of 500 search results. A corresponding message is displayed if this number is exceeded. If this happens, refine your search query, e.g. by adding more fields.

Customizing the columns in the search result list

You can customize the columns displayed in the search result list.

This is how it works

  1. Navigate to the start page of d.velop contracts for Microsoft 365.

  2. Select the Advanced search button to open the search mask.

  3. Narrow the search by the desired criteria and Search for contracts.

  4. Select Select column in the result list.

  5. Place a check mark next to the desired fields.

  6. Close the settings.

You can also change the order of the columns.

This is how it works

  1. Move the mouse to the column header of the column you want to move.

  2. Click with the left mouse button on the column header and keep the mouse button pressed.

  3. Drag the column to the desired position while still holding the left mouse button pressed.

  4. Release the mouse button.

  5. Proceed in the same way for all other columns.

These column settings are saved for your user and you will find them the next time you search, regardless of device or browser.

Exporting the search result list

You can export the search results as a Microsoft Excel file. If you have previously adjusted the search result list, this will be taken into account during export.

This is how it works

  1. Navigate to the start page of d.velop contracts for Microsoft 365.

  2. Select the Advanced search button to open the search mask.

  3. Restrict the search by the desired criteria.

  4. Search for the desired contracts.

  5. In the Contracts tab, select the Export search results button. The search results are downloaded as an Excel file.

Adding fields to the search

Refine your search with Add a field. For certain contract fields, you can select the value you are looking for from the existing contract field values.

This is how it works

  1. Choose Add a field to select a field from the list of existing Contract properties.

    Please note that specific fields of a contract type are only displayed if you have previously selected Contract types.

  2. Click in the new field. All available contract properties are displayed.

  3. Select the desired contract property.

  4. Enter the desired value.

    For another field start again with 1.

  5. Search for contracts with the assigned criteria.
