Everything at a glance: New features and improvements for Annual 2024

With the Annual 2024, you will benefit from many adjustments, new features and innovations in d.velop documents. This article summarizes the most important highlights.

New operating concept

The new operating concept makes working with d.velop documents easier and more intuitive. 1. Improved display of buttons and menus

The buttons and menus are now easier to find as the most important actions are now in focus.

2. Selecting multiple items

You can select multiple items from the search results and perform actions, e.g. to link the items together or to view multiple items (Show items).

3. Details of documents and dossiers

When viewing documents and dossiers, you can easily display and edit the details using the new details icon (Document details).

4. Flexibly adjustable areas and adaptive view of documents

You can now adjust the displayed areas as you like. The document view is automatically resized using the Fit to window width setting.

5. New operating concept in the tasks

The new operating concept offers you many advantages when completing tasks:

  • You can directly access context actions of documents.
  • You can access linked documents without leaving the task context.
  • You can open tasks in a new tab.
  • The actions in the task details have been revised so that you can work on your tasks more quickly.

Accessible working

Numerous adjustments have been made to offer people with disabilities an optimized experience in d.velop documents, e.g:

  • Optimization for screen readers (e.g. JAWS)
  • Braille display
  • Keyboard operability
  • High-contrast designs and colors

d.velop documents is also tested according to the standards of BITV 2.0 and has been tested by people with visual impairments. Activate the new operating concept to benefit from the adaptations.

Import

Based on your license, there are many exciting improvements and new features when importing.

1. Barcodes

The barcode engine has been revised, making processing faster and allowing you to capture more barcodes. You can activate the new barcode engine for the respective barcode profiles.

Barcode values are now also better used to fill the respective property fields with the values.

2. Working with documents in index mode

You can download or delete documents when indexing.

3. Absences

Absences are now taken into account. You can designate a delegate to whom your batches will be assigned during this time.

4. Assigning and sharing batches

You can assign batches to a group or share them with a group. You can find more information here.

5. Placeholders

When creating import profiles, you can now use placeholders for batch properties. If you click on the question mark, you will see an overview of the available placeholders.

6. Design

The user interfaces are displayed in the selected design from the theming app, e.g. in a dark design.

7. Categories and properties in multiple languages

You can specify categories and properties in several languages and make them available to other people.

8. Favorite scanners

The menu for saving favorite scanners has been revised to make it easier for you to select the respective scanner.

9. Sorting, grouping and filtering batches

You can sort, group and filter batches. Click on the filter icon (Open filter) to view and apply the options.

10. Widget for quick importing based on profiles

When working with the widget, you can now use drop zones to quickly and easily import documents based on your profiles.

Click on the three vertical dots in the widget and select Settings to define import profiles for the drop zones.

11. Revised batch view

The batch view is now collapsible and can be adjusted as needed.

12. Searchable batch list

You can now search in the batch list. For example, if you want to use a certain naming convention for batches or search in the properties, you can now find the right batch quickly and easily.

13. Manage editing and take document signatures into account

You can allow or prevent the editing of pages in the import profiles. This means that other people can neither rotate nor change pages.

You can also specify that document signatures are taken into account in order to prevent the separation of documents.

Document preview

The new View app not only offers a new design, but also many other possibilities.

1. Working with visual annotations

You can insert various visual annotations such as arrows.

2. Saving automatically

If you activate this function, your changes will be saved automatically.

3. Stamps and stamp templates

You can use your own stamps and create stamp templates. You can also permanently link an inserted stamp to a document so that the stamp remains permanently inserted in the document.

You can easily find help by clicking on the arrow next to the stamp symbol under Help with stamps.

4. Selecting and deleting multiple items

You can select several visual annotations or comments and delete them at the same time.

5. Images

You can insert images and combine them with stamps.

Linking documents and dossiers

You can now link documents to other documents or dossiers under Links. This means you only save documents once and then link the document as often as you like.

Click on Mark for linking and then on Link marked items.

Tasks and workflows

You can now perform actions for several tasks at the same time:

  • Forward
  • Accept
  • Return
  • Mark as read or unread

Mark the tasks and select the respective action.

Designing your own processes

With d.velop process studio you digitize and automate workflows and processes on your own. d.velop process studio offers you the following functions based on your license:

  • Modeling processes
  • Designing forms
  • Customizing scripts
  • Integrating third-party systems (e.g. ERP systems) into the process
  • Involving other people in processes

True to the slogan "power to the people", people with process and specialist knowledge (citizen developers) should be enabled to digitize and optimize processes on their own.

User management

The management of users and global groups has been made simpler and intuitive.

1. IDP groups

In addition to the existing LDAP groups, d.3 admin supports IDP groups, a new, simplified option for connecting user directory systems. This allows you to assign d.3 groups to several IDP groups.

You will receive an automated suggestion based on the LDAP configuration. Please check the suggestion before accepting the settings.

2. Managing users and global groups

The user interfaces for managing users and global groups have been revised. People can now also be clearly identified by the abbreviation for their first and last name in the image next to their name.

Infrastructure

There are changes and improvements in d.velop software manager.

Operating the app and selecting components is now easier.

2. Updating d.3 admin

You can now easily update d.3 admin via d.velop software manager.

Export

There are also exciting new functions for exporting.

1. Redacting documents

You can now redact certain areas in documents. When you subsequently export the document, the selected areas are redacted. Redacting has no effect on the version that is saved in d.velop documents.

2. Improvements when merging document

You benefit from several improvements when merging PDF documents:

  • You can use individual cover pages.
  • You can work with different export profiles.
  • You can work with placeholders in the output.

3. Exporting properties of multiple documents

You can export the properties of multiple documents as a Microsoft Excel or CSV file.

4. Export profiles

You can create different export profiles in the configuration and then use them when merging the documents.

5. Download dossiers as ZIP files

If you download dossiers as a ZIP file, the dossier structure can be mapped. You can also customize the file name. However, you can also use the Merge PDF function to export dossiers and multiple documents as usual.
